[test page] 4. Organise a preliminary meeting

Posted by Richard Martin - 25 January 2011 at 4:30pm - Comments

After your first event plan a preliminary meeting. Publicise the meeting everywhere, and invite your contacts from your first event. Ideally phone them before the meeting, or txt them, don’t rely on email.

Plan the meeting somewhere accessible, most Greenpeace networks meet in a quiet pub. If there is a good alternative venue, e.g. an environment centre, think about using it, but not if it’s inconvenient.

At the meeting:

  • Introduce yourself, and encourage everyone else to introduce themselves, and why they’re interested in Greenpeace – encourage them to do most of the talking
  • Ask people what sort of things they want to do, and brainstorm some ideas for your next event
  • Plan your next event – and ask people to commit to helping out on the day
  • Ask people for ideas as to how else to get people involved, and/or if they can persuade their friends and family members to help out.
  • Ask people to distribute flyers, and posters for the next event
  • Encourage people to join the webgroup, ideally during the meeting (if you have a laptop and wireless internet access) or as soon as possible afterwards
  • Take notes, and send a follow up email summarising what’s going to happen next, and what people have committed to doing – think action points not minutes
  • Remind people to join the webgroup – and to read your blog
  • Keep the meeting light hearted, fun, and short with enough socialising time for people to get to know each other after the ‘planning’ is over

Your first meeting may well be poorly attended, in which case you may need to organise another event by yourself, or with a friend, followed by another meeting. You may need to repeat this process a number of times. However with a bit of luck 3-4 people will turn up and you’re ready to organise a medium sized event.

Step 5 - Organise a medium sized event

Step 3 - Organise a small event
